A more organized
property walkthrough.
A practical property documentation checklist for real estate professionals across the United States. Use it with your current tools to keep photos, room notes, and export files associated with the right property.
This guide is available now. ListingScanAI’s app is still in development; the checklist does not describe verified app functionality.
1. Set up one property folder
- Use a consistent property name or internal identifier.
- Separate original captures, room photos, notes, and final exports.
- Record the walkthrough date and who collected the information.
- Confirm permission before photographing or documenting occupied spaces.
2. Work room by room
- Choose a consistent route through the property so rooms are easier to track.
- Give each room a clear name, such as “Bedroom 2 — upstairs.”
- Associate photos and notes with that room before moving on.
- Record missing information as a follow-up task instead of guessing.
- Keep personal documents, occupants, and sensitive belongings out of shared photos.
3. Review captures before leaving
- Check that every intended room has been documented.
- Open a sample of saved photos and files to confirm they are readable.
- Check floor-plan labels and dimensions against the source information; flag anything that needs verification.
- Note inaccessible areas and unfinished capture tasks.
4. Prepare a clean handoff
- Keep originals separate from files prepared for sharing.
- Use descriptive filenames and remove duplicate or outdated drafts.
- Open the final report or image on another device before sending it.
- Confirm that files contain only the information intended for the recipient.
- Save an appropriate backup using your existing approved process.
5. Verify before publishing
Review the information under your brokerage’s process and applicable MLS requirements. A phone scan or this checklist does not establish measurement accuracy, square-footage compliance, or the suitability of a file for a listing.
